Administrative & Finance Officer
EESW/STEM Cymru are looking to appoint a full time Administrative and Finance Officer to be based at the South Wales office at the Waterton Technology Centre, Bridgend.
Responsible to: South Wales Coordinator
Based at: Waterton Centre, Bridgend (Office based)
Hours: Full Time – 37.5 Hours (5 days Monday to Friday, 8.30am to 4.30pm)
Salary: £28,000 pa
Job Purpose: To manage and support the day-to-day financial and administrative operations of the Charity, including responsibility for banking, financial records, and office systems. The postholder will ensure accurate financial processes, and provide operational support to ensure smooth delivery of EESW’s charitable activities.
Key Responsibilities and accountabilities:
- Work under the direction of the South Wales Coordinator
- Generate quotes, Purchase Orders and invoices and process all payments and staff salaries and expenses claims
- Ensure compliance with charity financial policies and procedures
- Maintain and update financial records and liaise with external accountants for payroll
- Maintain office and files, including paperwork for financial trails and audit
- Assist with maintaining all financial and staffing records, including staff timesheets and expenses
- Act as banking administrator, managing user access, authorisations, and security controls on the charity’s online banking system.
- Ensure all payments and transfers are appropriately authorised according to the charity’s financial procedures.
- Deal with daily correspondence and respond to telephone, email, written and oral queries
- Maintain and administer the charity’s Microsoft 365 and SharePoint systems, ensuring documents and records are securely stored, up to date, and accessible to relevant staff.
- Support staff in basic SharePoint and file management tasks.
- Support Administrative Assistant with communications, bookings, emails and other marketing for EESW
- Provide administrative support for project delivery
- Book venues, staff accommodation, travel and transport and catering as required
- Attend events as administrative support
- Any other duties commensurate with the role as required
Essential skills and experience
- Previous experience in finance and administration in a similar position
- Experience using accounting software (e.g., QuickBooks, Xero, Sage, or similar).
- Accuracy and attention to detail in financial record keeping.
- Ability to handle confidential information with discretion.
- Experience managing online banking and digital record systems.
- Excellent written and oral communication skills
- Proficient in the use of Microsoft office, particularly Excel
- Good organisational ability
- Self-motivated and proactive, with the ability to work independently and as part of a small team
Desirable Skills/Experience
- Experience in the charity or non-profit sector.
- Experience with Microsoft 365 administration (SharePoint, Teams, OneDrive).
- Understanding of charity accounting and financial controls.
- Relevant finance or administration qualifications
- Own transport for attending events across South Wales (occasional, mileage expenses paid)
